Data Deletion & Account Wipe Request Policy

At Sovereign Workforce Solutions LLC, our position is simple: We do not want to keep your data longer than we are legally required to keep it.

Your data belongs to you. If you ask us to delete your personal data, we will make every reasonable effort to delete, remove, de-identify, anonymize, or minimize that data from our systems to the fullest extent permitted by law.

We will not keep your information simply because it is convenient for us. We will only retain information when there is a legitimate business, legal, tax, accounting, fraud-prevention, security, compliance, contractual, or regulatory reason requiring us to do so.

  • You may request that Sovereign Workforce Solutions LLC delete personal information associated with your account, course registration, newsletter subscription, purchase history, customer profile, or use of our services.

    A deletion request may include, where applicable:

    • Name

    • Email address

    • Account profile information

    • Course access information

    • Newsletter subscription information

    • Customer support communications

    • User-submitted information

    • Non-required internal records connected to your account

    • Any other personal data we are legally permitted to delete

  • Before deleting data, Sovereign Workforce Solutions LLC may take reasonable steps to verify that the person making the request is the account holder or legally authorized representative.

    Verification may include:

    • Confirming the email address connected to the account

    • Requesting basic identifying information

    • Confirming prior purchase or account details

    • Verifying authority if the request is made by a representative

    We do this to protect users from unauthorized deletion requests.

  • Once a valid deletion request is received and verified, Sovereign Workforce Solutions LLC will make reasonable efforts to delete or remove personal information from active systems where deletion is legally and technically possible.

    This may include:

    • Removing user account information

    • Deleting newsletter records

    • Deleting unnecessary customer profile data

    • Removing non-required support records

    • Revoking course platform access

    • Deleting unnecessary user-submitted data

    • Removing non-essential internal notes connected to the user

    • Requesting deletion from applicable third-party service providers where possible

  • Some information may not be legally or practically deletable immediately. If we are required to retain certain records, we will keep only what is necessary and only for as long as required.

    This may include records needed for:

    • Tax compliance

    • Accounting records

    • Payment processing records

    • Chargeback or refund disputes

    • Fraud prevention

    • Legal claims or dispute resolution

    • Contract enforcement

    • Security investigations

    • Regulatory compliance

    • Business records we are legally required to maintain

    If certain information cannot legally be deleted, we will tell you that your request has been completed except for data that must be retained for legal, compliance, security, or legitimate business reasons.

  • If we must retain any data after a deletion request, Sovereign Workforce Solutions LLC pledges to reduce that retained data to the minimum amount reasonably and legally required.

    We will not retain unnecessary personal information.

    Where possible, retained data will be:

    • Minimized

    • Restricted

    • De-identified

    • Anonymized

    • Segregated from active customer systems

    • Limited to compliance-only use

    • Protected from unnecessary internal access

    • Stored in a secure manner

    Our goal is not to preserve user data. Our goal is to comply with the law while respecting the user’s ownership and privacy.

  • Where deletion is not legally or technically possible, Sovereign Workforce Solutions LLC may anonymize or de-identify the data so that it is no longer reasonably associated with a specific individual.

    When possible, retained records will be stripped of unnecessary personal identifiers.

    This may include removing or separating:

    • Names

    • Email addresses

    • Phone numbers

    • Usernames

    • Account identifiers

    • Personal notes

    • Unnecessary profile information

  • Where reasonably possible and appropriate, any data that must be retained for legal, tax, accounting, security, or compliance purposes may be moved out of active systems and placed into restricted storage.

    When feasible, this may include:

    • Offline storage

    • Cold storage

    • Encrypted archives

    • Restricted-access compliance folders

    • Limited-access accounting records

    • Segregated legal retention files

    Access to retained data will be limited to those with a legitimate need to access it.

  • Sovereign Workforce Solutions LLC may use third-party platforms to operate its website, process payments, deliver courses, manage newsletters, host content, provide customer support, or perform business functions.

    When we receive a verified deletion request, we will make reasonable efforts to delete or request deletion of applicable personal data from third-party service providers we control or use.

    However, some third-party platforms may retain certain information under their own legal, security, fraud-prevention, tax, accounting, or compliance obligations.

    Sovereign Workforce Solutions LLC is not responsible for data retained independently by third-party platforms outside our direct control, but we will make reasonable efforts to assist with deletion requests where possible.

  • Deleted information may remain temporarily in system backups, security logs, disaster recovery archives, or technical records until those records are overwritten or expire through normal backup retention cycles.

    Sovereign Workforce Solutions LLC will not use backup data for ordinary business purposes after a verified deletion request has been completed.

    If backup data must be restored for security or operational reasons, we will make reasonable efforts to reapply the deletion request to restored data where applicable.

  • After processing a verified deletion request, Sovereign Workforce Solutions LLC will provide confirmation that the request has been completed, subject to any legally required retention.

    The confirmation may include:

    • That the request was received

    • That identity was verified

    • That deletable data was deleted

    • That access was removed, if applicable

    • Whether any legally required data was retained

    • The general reason retained data could not be deleted

    We are not required to disclose sensitive internal security details, trade secrets, confidential business systems, or information that would create security risk.

  • Sovereign Workforce Solutions LLC will not punish, retaliate against, or discriminate against a user for submitting a lawful data deletion request.

    However, deleting certain data may limit or terminate access to services that require that data to function, including course access, account access, purchase verification, certificates, support history, or membership services.

  • We do not want to keep your data after you ask us to delete it.

    If the law allows us to delete it, we will work to delete it.

    If the law requires us to keep it, we will keep only the minimum required.

    If we can anonymize it, minimize it, restrict it, or move it out of active systems, we will make reasonable efforts to do so.

    Your data belongs to you. We do not sell it. We do not want to hoard it. And when you ask us to delete it, we will honor that request to the fullest extent legally and technically possible.
